HAF Data Returns


All HAF providers will need to compete the following data returns at the end of their holiday programme, all documents must be received by 22nd April 2026.


  • Case Study
  • Provider Evaluation
  • Voice of the Child

Attendance – this needs to be recorded on the booking system by clicking “Mark Arrived” next to all children who attended the session. Anything added after the 22nd April 2026 will not be included in your final figures.

Second HAF payments will not be processed until all data returns are received. Any attendances received past this date will not be included in your final figures. Data that is not returned by the deadline will be viewed as breach of contract and may affect future HAF applications.

All bookings must be made through the WSCC HAF booking system. If a provider chooses to accept bookings directly from parents, then the provider is responsible for confirming the child’s HAF eligibility.

Places that are used by non-eligible HAF children will not be paid for.

If you need to confirm a child’s eligibility, you can do this at any time by emailing the child’s name, date of birth and school to haf@westsussex.gov.uk

Any bookings taken outside of the booking system must provide the following information:

  1. Childs name
  2. Childs date of birth
  3. Childs school
  4. HAF code
  5. Parents name
  6. Parents email address
  7. Date of session attended.

This can be recorded using the spreadsheet “Booking not via Booking System" (password HAF2026)

We understand that accessing the booking system can be tricky for some families however, we have a range of support available to try before taking a booking outside of the system.

This information must be returned to us by the 22nd April 2026 with your data returns, to be included in your final figures for Easter 2026.

    The HAF Team will use this survey to collect some personal data (e.g., name, email address) the process of which is necessary for the performance of a contract with the data subject or to take steps to enter into a contract. You do not have to answer these survey questions but the information you do supply will be processed in accordance with the 2018 Data Protection Act and the General Data Protection Regulations, and any subsequent relevant legislation. West Sussex County Council will not share any personal information collected as part of this survey. The information will be held electronically for a period of three years/months before being appropriately destroyed.

    The information you provide will be used for statistical analysis, management, planning and the provision of services by the County Council and its partners.
